CHEMICAL HEALTH PROGRAMS

PRIMARY FUNCTIONS:

Provides secretarial duties for Pregnant Women and Families staff. Reports to the Supervisor of Red Lake Pregnant Women and Families Program, full-time position w/benefits, salary; DOQ.

DUTIES AND RESPONSIBILITIES:

• Maintain general office filing system

• Responsible for answering telephone, routing calls to appropriate personnel; greet visitors and refer to appropriate personnel

• Update all employee leave records every pay period

• Record monthly activities of class agenda

• Perform class activities with clients

• Purchase and inventory office supplies, materials and distribute; as well as preparing purchase orders for payment of invoices

• Must be able to type neatly with accuracy of letters, memorandums, correspondence, and other materials

• Conduct Rule 25 Assessments

• Responsible for routing of all correspondence and reports as well as Xeroxing of correspondence and other materials as part of the Chemical Dependency departments as needed

• Arranges meetings and travel for staff

• Responsible for maintaining and updating telephone extensions of all current employees

• Prepare time and attendance records on a timely basis

• Assists in maintaining client files

• Must maintain accurate records of all transactions

• Ability to deal with the public

• Must be punctual in work attendance

• Maintain strict confidentiality at all times

• Performs other duties as assigned

MINIMUM QUALIFICATIONS:

• Must have at least one (1) year of being chemically free

• High school diploma/GED

• Possess Secretarial certificate from accredited vocational school

• One (1) year experience in office procedures

• Possess computer skills w/ knowledge using word processing and other software

• Have a valid driver's license and auto insurance

• Must refrain from all mood altering chemicals, and participate in mandatory alcohol/drug testing

• Must be able to follow orders precisely and cooperate with other staff

• Must be familiar with confidentiality rules and regulations

• Employment is contingent upon passing a pre-employment drug test and comprehensive background check.
