Position Description: MARSS Coordinator

Supervisor: Business Manager

Bargaining Group: None

Terms: Fulltime – 12 month contract –Non-Exempt

Position Overview: The purpose of this position is to coordinate, maintain and organize the internal and state (MARSS) reporting of students, serve as District Office receptionist/administrative support

1. Receptionist/administrative support

1. Answer phones and direct calls to appropriate person.

2. Greet visitors and direct to appropriate person.

3. Provide administrative support to the Superintendent and Director of Special Services as needed.

Knowledge of:

i. Applicable district policies

ii. Synergy software application or other student accounting software applications.

iii. Minnesota Student Reporting rules and procedures (MARSS Manual).

iv. District attendance policies.

Ability to:

i. Plan

ii. Organize

iv. Analyze and plan efficiently.

v. Communicate effectively with staff, co-workers, administrators and the general public.

vi. Operate a computer and office equipment.

vii. Maintain accurate records.

viii. Communicate effectively both verbally and in writing.

v. Microsoft Word and Excel

1.1 Incoming phone calls are answered and forwarded to appropriate person.

1.2 Visitors are allowed access to the District Office to conduct business.

2. MARSS Coordinator

1. Create and maintain the school district's centralized enrollment process that includes adding, dropping, amending and transferring students in and out at all sites.

2. Maintain and input all student enrollment records.

3. Enter and/or verify applicable student codes as transportation, disability, homebound, expulsion, etc.

4. Maintain integrity of student information by working with each site for accuracy

5. Work with technology department to provide MARSS/Synergy training and other support to each site.

6. Submit error free MARSS data to MDE according to the established timelines.

7. Provide reports and data to District staff and external users as requested according established policies and procedures.

8. Work with Food Service Coordinator to verify accuracy of students reported as free and reduced.

9. Verify parental residency for tuition agreements.

10. Maintain database of students opening enrolling out of District.

11. Maintain District IEP files as directed by Special Education Director.

12. Enter Title VI eligibility status into Synergy.

13. Enter homeless eligibility status into Synergy.

14. Work with Director of Special Services to ensure special education students are reported correctly in MARSS

2.1 Students are activated/inactivated within 24 hours of receipt of enrollment/drop form.

2.2 Student MARSS records accurately reflect transportation codes

2.3 Student MARSS records accurately reflect disability code.

2.4 Expelled students records accurately reflect change in status/placement.

2.5 Homebound student records accurately reflect change in status/placement.

2.6 Error free MARSS data is submitted to MDE immediately prior to each MDE defined reporting period.

2.7 Free and reduced students are accurately reported in MARSS via synergy.

2.8 An accurate list/database of resident students attending elsewhere is maintained.

2.9 District IEP files contain copies of current IEP and verified against master list.

3. Perform additional duties as assigned by supervisor; including but not limited to:

a. Other duties as assigned.

b. Maintain confidentiality

c. Attend training as assigned

d. Prompt daily attendance

e. Adheres to district policies and procedures.

Qualifications/Requirements:

1. High School Diploma

2. Technical College Diploma, equivalent credits or 1-3 years' experience in similar position.

3. 1-3 years' experience using Synergy or other student accounting software application to report to MDE.

4. Ability to lift up to 70 lbs, remain seated at workstation for long periods of time and perform repetitive movements using various office technologies.

5. Good communication skills, personal appearance and a cooperative attitude required

6. Willingness to assist where needed and the ability to establish good working relationships is essential.
