CHEMICAL HEALTH PROGRAM

PRIMARY FUNCTIONS:

Provides secretarial duties for Pregnant Women and Families staff. Reports to Supervisor, full time position with benefits, salary; DOQ.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Maintain general office filing system.

• Responsible for answering telephone and route telephone calls to appropriate personnel, greet visitors and refers to appropriate personnel.

• Update all employee leave records, every pay period.

• Record monthly activities with clients.

• Purchase and inventory office supplies, materials and distribute; as well as preparing purchase orders for payment of invoices.

• Must be able to type neatly and accurately of letters, memorandums, correspondence, and other materials.

• Conduct Rule 25 Assessments.

• Responsible for routing of all correspondence and reports as well as Xeroxing of correspondence and other materials as part of the Chemical Dependency departments as needed.

• Arranges meetings and travel for staff.

• Responsible for maintaining and updating telephone extensions of all current employees.

• Prepare time and attendance records in a timely basis.

• Assists in maintaining client files.

• Must maintain accurate records of all transactions.

• Ability to deal with the public.

• Must be punctual in work attendance.

• Maintain strict confidentiality at all times.

• Performs others duties as assigned.

EDUCATION/WORK EXPERIENCE/QUALIFICATIONS:

• Must have a High School Diploma or GED

• Must possess secretarial certificate from accredited vocational school or one-year experience in office procedures.

• Must have at least one (1) year of being chemical free.

• Must have a valid Minnesota Driver's License and auto insurance.

• Must refrain from all mood altering chemicals.

• Must participate in mandatory alcohol/drug testing.

• Must be able to follow orders precisely and cooperate with other staff.

• Must be familiar with confidentiality rules and regulations.

• Employment is contingent upon passing a pre-employment drug test and background check.
