PRIMARY FUNCTIONS:

Responsible for handling front office reception and administration duties. This includes greeting, welcoming, and directing visitors, answering and directing calls, mail distribution and clerical support for staff. The Receptionist is the first point of contact for the entire organization, which requires a positive and professional attitude. Reports to Executive Director, full-time position w/benefits, salary; DOQ.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Welcome visitors by greeting them with a smile, in person or on the telephone; determine nature of business, and announce guest to appropriate staff, or make appointments when appropriate staff are unavailable.

• Answer incoming telephone calls, determining purpose of callers, and forwarding calls to appropriate staff or other local offices. Direct visitors by maintaining employee and local office directories for proper information and direction.

• Help maintain security of the facility by following procedures and monitoring visitors while in the building.

• Scheduling users of conference room, commercial kitchen, and meeting spaces.

• Assist staff with clerical duties performed at your desk, such as data entry and typing reports.

• Receive, sort and distribute mail appropriately.

• Accept vendor deliveries and coordinate needed distribution and management of deliveries.

• Ensure main voicemail reflects office closings and special events, and signage postings for any office closings.

• Handle company inquiries, answering questions about organization and providing callers with address, directions, and other information requested.

• Maintain safe and clean reception area, assisting with exterior entry, lobby and hallway cleanliness. Communicate with the Facility Maintenance on any facility irregularities or needs.

• Be a team player and help support staff by accomplishing related results in a timely manner.

• Perform other duties as assigned.

EDUCATION/WORK EXPERIENCE/QUALIFICATIONS:

• Polished professional with outgoing attitude, and love to make visitors feel at home.

• Excellent typing skills (word processing; 50-60 wpm), high level of proficiency with general office PC applications (i.e. MS Word, MS Excel, MS Access, MS PowerPoint) and comfort with learning new applications as required.

• A team player with excellent organizational skills, personal interface skills, job diligence, dedication and attention to detail.

• Comfort and experience interfacing with various levels of staff and management, while working in a fast-paced environment.

• Excellent written and verbal communication skills, including the ability to listen and communicate with the public, staff, and vendors.

• American Indian Preference

• Employment is contingent upon passing a pre-employment drug test and background check.
