4-DIRECTIONS DEVELOPMENT

PRIMARY FUNCTIONS:

To coordinate all aspects of 4-Directions Development events throughout the year; establishing and managing an annual events calendar. An enthusiastic individual who enjoys producing memorable events from concept to completion that meet our impact expectations. Reports to Executive Director, full-time position w/benefits, salary; DOQ.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Obtain and maintain knowledge of all events 4-Directions Development provides each year and the goal and objectives of each event.

• Interact professionally and in a timely manner with appropriate clients, community members and vendors to accomplish each event.

• Retain a pleasant attitude at all times. During times of frustration or being overwhelmed; stay calm and accommodating, as well as being a problem solver. Accommodate requests to the best of your ability to ensure top customer satisfaction.

• Stay organized with the ability to focus on 2 to 3 events at a time.

• Plan all the details of the organization's training sessions, festivals, fundraisers, and conferences; developing an event checklist that pays attention to timelines and details that will help with coordination of all events in a consistent manner.

• Become familiar with various vendors that will assist in making events happen smoothly.

• Coordinate and facilitate event-planning meetings with staff and committee members.

• Assist with recruiting volunteers for event committees.

• Work closely with the Executive Director on event costs, budgets, and funding sources; and assist with capturing appropriate sponsorships of events.

• Take the lead on planning of all aspects of each event, such as location, dates and time, décor, theme, food and beverage, documentation, invitee list, speakers, lodging, marketing, and other event needs.

• Develop and maintain appropriate data gathering methods to document the event participation and impact.

• Assist with obtaining needed information to put needed contracts in place prior to each event.

• Attend each event and stay in contact with the participating vendors during the event to ensure everyone is where they need to be and they have everything they need.

• After each event, provide a written report to the Executive Director. This will include sign-in sheets, surveys, head counts, pictures and video documentation, a summary of occurrences and outcomes.

• Incorporate our culture and traditions wherever possible, while protecting our environment and promoting healthy options for our community members.

• Other duties as assigned.
