SECRETARY – GROUP HOME
CHEMICAL HEALTH PROGRAMS

PRIMARY FUNCTIONS:
To provide general receptionist/clerical services for program operations. Reports to Supervisor, full-time position w/benefits, salary; DOQ.
PRIMARY DUTIES AND RESPONSIBILITIES:
• Maintain general office filing system
• Responsible for answering telephone and route telephone calls to appropriate personnel
• Coordinate with other jurisdictions and collaborative partner's requests for information regarding client compliance.
• Greets visitors and refers to appropriate personnel
• Establish client appointment in cooperation with the counselors
• Purchase and inventory office supplies and material and distribute
• Performs word processing utilizing computer by typing letters, memorandums, correspondence and other materials
• Must be able to type neatly and accurately
• Makes arrangement for meetings and travel for staff
• Makes Xerox copies of all letters, memorandums and materials which are part of the Chemical Dependency departments business when necessary
• Prepares purchase orders for payment of invoices
• Assist Head Counselor with staff scheduling
• Responsible for maintaining and updating telephone extensions of all current employee
• Prepares time and attendance records on a timely basis
• Responsible for routing all correspondence, memorandums and reports
• Assist in maintaining client files
• Must maintain accurate records of all transactions
• Ability to deal tactfully with the public
• Must be punctual in work attendance
• Maintain abide by confidentiality rules and regulations as stated in CFR 42 Part 2
• Others duties as assigned
QUALIFICATIONS:
• Must have a High School Diploma or GED
• Must have at least one year of being chemical free
• Must have a valid Driver's License and auto insurance
• Must refrain from all mood altering chemicals
• Must participate in mandatory alcohol/drug testing when called upon
• Must be able to follow orders precisely and cooperate with other staff
• Must be familiar with confidentiality rules and regulations
• Must possess a secretarial certificate form an accredited vocational school or one-year experience in office procedures
