4-DIRECTIONS DEVELOPMENT (ECONOMIC DEVELOPMENT/PLANNING)

Primary Function:

Manage the office administrative duties, handling, controlling and maintaining a balanced process of clerical practices and procedures necessary to address staff and program needs, budgets, grant requirements, and reporting. Helping the organization achieve the best service it can provide to the community and individuals we serve in the most effective and efficient manner. Reports to Executive Director, full-time position w/benefits, salary; $19.00 - $20.00 hourly.

Essential Responsibilities & Duties:

• Provide administrative assistance with office functions; organizing and coordinating work systems and resources, completing necessary office processes and procedures; monitor, evaluate and adjust for proper flow and outcomes to facilitate organizational effectiveness and efficiency

• Exercise judgement in the application, monitoring and maintenance of correct procedures; plan, organize and control clerical aspects, including the preparation, communication, coordination and storage of data, documentation, inventory, measures, and reporting to support operations of the organization

• Be part of budget setting, and to help ensure staff work within set budgets, with proper paperwork and documentation being administered and collected; includes purchases, sales, managing a cuff account, timely data entry, and proper record and forms management

• Assist with preparing various reports for management of budgets, grants, loans, facilities, and risk

• Maintain an active knowledge base of the organization's office products and filing system, ensuring they are maintained and current on a daily basis

• Maintain office operations and communication with appropriate staff, with ability to refer items to the appropriate staff, and to contribute suggestions for organizational improvement and/or efficiency

• Maintain a calendar or time line for all processes and procedures, and assist with deadline reminders

• Coordinate with IT provider to ensure staff has appropriate equipment, instructions and proper access and logins; maintain a list of such equipment and software, and monitor and initiate new procedures with proper updating of software and business systems

• Plan, consult and manage office/space moves for the facility and other sites under our management

• Assist with leading other staff, such as receptionist, janitorial, security, and garden crew; helping coordinate staff activities to ensure goals and objectives are being met

• Assist Financial Assistant with payroll, ensuring timesheets and leave slips are completed properly and on time. Plus, maintain proper and confidential filing system for payroll and staff documents

• Maintain security, integrity, and confidentiality of data

• Assist to establish and maintain good working relationships with staff, clients, contractors, and vendors

• Perform additional duties as assigned

Qualifications:

• Two (2) year formal education or experience with Accounting, Finance or Business Administration

• Able to operate a computer and office equipment, with knowledge of Microsoft Office and Quickbooks

• Strong organizational skills and detail oriented with ability to plan, solve problems, and make decisions

• Effective communication skills with internal and external contacts, both verbally and in writing

• Familiar with internal operations of business and nonprofit entities

• Able to work and stay organized in a fast paced environment, with a positive and cooperative attitude
