POSITION TITLE: Accounting Specialist – Full-Time

DEPARTMENT: Business Office

REPORTS TO: Chief Financial Officer

CLASSIFICATION: Non-Exempt

REVISED: January 2015

DEADLINE: Open until filled

PRIMARY FUNCTIONS: The Accounting Specialist is responsible for organizing and coordinating RLNC office operations and procedures in order to ensure effectiveness and efficiency.

ACCOUNTABILTY: The Accounting Specialist reports directly to the Chief Financial Officer.

ESSENTIAL RESPONSIBILITIES: Essential responsibilities and duties may include, but are not limited to the following:

• This position requires regular office hours.

• Assist college students with billing questions and/or direct students to the appropriate resource.

• Check email daily for regular communication and respond to RLNC staff for confirmation of emails.

• Accounts Payable duties. Prepare all bills and contract services for payment (invoices/purchases orders/contract, etc.).

• Obtain necessary signatures on payroll forms and deliver to the accounting office.

• Maintain files on all aspects of payroll, finance and bookstore (timesheets, leave of absence, mileage, invoices, contracts, purchase orders, inventory, etc.).

• On a daily basis, check the main RLNC mailbox at the US Post Office, Tribal internal mailbox and the RLNC mailbox at the RL accounting office mail system.

• Pass along all interoffice mail memos to the appropriate persons.

• Assist with meeting preparation of RLNC Board checks and start the check requests 10 days prior to the meeting date so they are ready at every Board Meeting.

• Assist with communication among all staff via email, interpersonal, etc.

• Assist all RLNC staff and program managers with administration tasks.

• Follow through with assigned tasks and communicate the results to RLNC staff.

• Perform regular inventory of all office supplies and reorder prior to running out of regular supplies.

• Assist RLNC faculty and staff with bookstore supplies and instructional supplies as needed.

• Assist RLNC faculty and staff with preparations for student activities/seminars/workshops/college sponsored events, etc.

• Maintain all files for YouthBuild/Americorp and National Summer Institute Program or any other grant programs that come through the RLNC.

• Manage scheduling for use of RLNC facilities by community and tribal programs.

• Assist in preparing grant reports.

• Assist RLNC President or RLNC staff with other duties as assigned.

• Backup Bookstore Associate as needed.

• Other Duties as assigned.

QUALIFICATIONS

• Associate in Arts Degree and/or two years of experience in office management.

• Excellent communication and people skills.

• Proficient knowledge of accounting procedures.

• Knowledge of Microsoft Excel, Microsoft Word, Microsoft Desktop Publishing, Web Development.

• This position follows our Red Lake Tribal Member and Indian Preference Policy.
