Chemical Health Programs

Open: October 17, 2013 Closing: November 8, 2013 @ 3:00 p.m.

Primary Function:

Provides secretarial duties for Ponemah Outpatient Program. Full-time position with benefits, salary $9.00 hrly (.50 increase after successful completion of 90-day probationary period). Reports to the Supervisor of the Ponemah Out-Patient Program.

Essential Responsibilities & Duties:

• Maintain general office filing system.

• Responsible for answering telephone, routing calls to appropriate personnel; greet visitors and refer to appropriate personnel.

• Update all employee leave records every pay period.

• Set up client appointments in cooperation with the counselors as wells as counseling duties.

• Record monthly activities of class agenda.

• Perform class activities with clients.

• Purchase and inventory office supplies, materials and distribute; as well as preparing purchase orders for payment of invoices.

• Must be able to type neatly with accuracy of letters, memorandums, correspondence, and other materials.

• Conduct Rule 25 Assessments.

• Responsible for routing of all correspondence and reports as well as Xeroxing of correspondence and other materials as part of the Chemical Dependency departments as needed.

• Arranges meetings and travel for staff.

• Responsible for maintaining and updating telephone extensions of all current employees.

• Prepare time and attendance records on a timely basis.

• Assists in maintaining client files.

• Must maintain accurate records of all transactions.

• Ability to deal with the public.

• Must be punctual in work attendance.

• Maintain strict confidentiality at all times.

• Performs other duties as assigned.

Qualifications:

• Must have at least one (1) year of being chemically free.

• Must be a GED/High School graduate.

• Must have a Secretarial Certificate from accredited vocational school or one year experience in office procedures.

• Computer skills with knowledge using word processing and other software.

• Have a valid driver’s license and auto insurance.

• Must refrain from all mood altering chemicals, and participate in mandatory alcohol/drug testing.

• Must be able to follow orders precisely and cooperate with other staff.

• Must be familiar with confidentiality rules and regulations.
