PRIMARY FUNCTION:

Records management of the Accounts Payable section of the Accounting Department and/or other departments as needed. Full-time position w/Benefits, Reports to Payroll Department Supervisor. Salary; DOQ.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

• Knowledge of standard office machines

• Working knowledge of PC computer in an network environment

• Working Knowledge of: Microsoft-Word, Excel and Outlook

• Serves as the primary phone contact for the Accounts Payable department forwarding calls to the appropriated departmental staff as well as providing information on status of invoices, Purchase orders or Checks

• Records management

o Maintain the A/P (accounts payable) vendor files

o Collating Invoices, Purchase Orders and Checks for filing

o Coordinate logging, filing and distribution of Purchase orders

o Stamp, sort, and distribute incoming invoices and other A/P mail

o Provide departments with copies of A/P documents, as requested

o Distribution of A/P checks via mail, distribution to programs or for vendor pick up; ensuring that appropriate signatures and documentation is in place

o Distribution of Bi-weekly payroll checks to Department Heads

o Local Delivery and pick up of A/P documents for distribution or authorizing signatures

• Transactions

o Process postage for outgoing mail, and track postage expense allocation

• Compliance

o Locate files, invoices, and other records for audits and other needs

• Working Conditions

o Working conditions are normal for an office environment

o Work may require occasional weekend and/or evening work and attendance at meetings or conferences that require travel

• Other related projects and tasks as assigned

EDUCATION/WORK EXPERIENCE:

• High School Diploma or GED

• Two years’ experience in Accounting or Records Management

• Contingent upon passing a UA and background check

• Requires Valid Driver’s License and Insurance
