FILE CLERK – ADMINISTRATIVE ASSISTANT

RED LAKE NATION TRIBAL COURTS

PRIMARY FUNCTION:

Responsible for insuring that all aspects of Court Administration are operating effectively and efficiently thus providing clerical support for Tribal Court Administration. Also responsible for the daily Tribal Court Main File Room is kept in order; any and all Court Documents are properly stored to allow quick and easy access when required. Reports to Court Administrator, full-time position w/benefits, salary; DOQ.

ESSENTIAL RESPONSIBILITIES & DUTIES:

• Maintaining of daily criminal docket and make permanent files; must maintain accurate and complete files

• Attend hearings in criminal, juvenile, and civil hearings; take minutes on all proceedings before the Court when called upon

• Arrange and maintain the Court Main File Room to allow for identification and expansion of files

• Greet public in a courteous and professional manner and directs calls to appropriate personnel

• Acts as Receptionist when needed

• Setup appointments and informal hearings for Judges

• Responsible for maintaining a monthly criminal report on all cases filed and completed

• Responsible for monthly submission of Court statistics to Court Administration and Tribal Court Justices

• Transcribe proceeding associated with criminal, juvenile, and civil hearings

• Assists in collection of fines, bonds, restitution, and/or civil fees; also, prepares and submits refund requests to Court Administration for processing

• Reviews and edits any information entered into the Court Electronic Case Management System to ensure accuracy of Data Entry

• Assist in preparation of Appeals

• Responsible for attending meetings and/or Mental Health Board Meetings and take minutes

• Perform other duties as assigned

QUALIFICATIONS:

• GED/High School Diploma

• Experience in Data Management Systems preferred

• Excellent organizational skills with the ability to handle multiple tasks

• Excellent communication skills; verbal and written

• Adhere to and have knowledge of the Data Privacy Act

• Must be of high moral character to uphold the integrity of the Court

• Computer knowledgeable using various software and other office machines used in the Courtroom, including transcribing machines

• Knowledgeable in the Tribal Code and ordinances

• Employment contingent upon successfully passing Pre-Employment Drug/Alcohol Test and Background Check
