ADMINISTRATIVE ASSISTANT

Full Time: 8:00 a.m. to 4:30 p.m., Monday-Friday

Wages: $ 10.00 per hour with full benefits

Reports to: Executive Director

DUTIES AND RESPONSIBILITIES:

• Greet and assist visitors to our office.

• Answer telephone and handle calls appropriately – provide information, transfer to other staff, take messages.

• Manage personnel files for employees, including submitting new employee and employee status change information to Human Resources.

• Process employee time sheets and other payroll information.

• Maintain employee and client confidentially.

• Pick up and open mail, process as indicated.

• Write purchase orders, obtain necessary signatures and submit to Accounting.

• Maintain agency Excel spreadsheets for income and expenses.

• Prepare financial and other reports as requested.

• Maintain paper and electronic files.

• Assist with arranging and taking notes for meetings.

• Provide assistant support to management and other staff as requested.

• Monitor office supplies and order as approved by management.

• Maintain positive relationships with all other offices and clients, refer problem situations to Executive Director.

• Prepare Letters and other documents as requested.

• Assist Program Manager with Food Program.

• Receive and deposit all income from funding sources to Accounting.

• Work with Executive Director on Grants and renewals.

• Ensure accounting ledger is correct with purchase orders and correct mistakes.

• Assist with events and make sure they function properly.

• Work with Executive Director and Grant Accountant on budget for shelter sub accountants.

QUALIFICATIONS:

• High School Diploma or GED.

• Proficiency with Microsoft Word and Excel.

• Effective verbal and written communication skills.

• Acceptable criminal background check.

• Reliable and insured vehicle, valid driver's license.

• Knowledge of and experience working with Native American people.

• Must have phone, reliable and insured vehicle, and valid Minnesota driver's license.
