REGIONAL CRIMINAL JUSTICE COMPLEX

PRIMARY FUNCTION:

Responsible for administrative clerical support services for Detention Administrator as well as Detention Staff. Reports to Administrator, full-time position, with benefits, salary; DOQ.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

• Responsible for purchase order preparation and the process of invoices for payment

• Responsible for analyzing Serious Incident Reports and complete accurate summaries and file accordingly

• Responsible for the maintenance of departmental vendor files and upkeep of document files

• Responsible for ensuring that the filing system is up-to-date

• Responsible for maintaining confidentiality of all pertinent information in accordance with the Data Privacy Act

• Responsible for in-house detention related correspondence

• Answer telephones, screens calls, takes messages and complaints and gives information to the caller regarding the services and procedures of the organizational unit

• Responsible for preparation of forms and related documents and upkeep of current standards

• Responsible for all travel arrangements and preparation of travel

• Receives, sorts and distributes incoming and outgoing mail, including fax for distribution

• Responsible for providing technical support and assistance regarding staff departmental issues

• Performs other duties as assigned

EDUCATION/WORK EXPERIENCE/QUALIFICATIONS:

• High School Diploma, GED, or certificate in secretarial field and/or combination of both education and experience

• Familiarity with the Data Privacy Act and be of high stable character with the proven ability to maintain strict standards of behavior and confidentiality

• Establishes and maintains an effective working relationship with people of varied economic, educational, and cultural backgrounds

• Possess excellent written and verbal communication skills

• Must pass a criminal records background check without any felony convictions and must never have been convicted of Domestic Violence

• Possess a valid Minnesota driver's license and provide proof of a clean driving record

• Agree to maintain a drug-free workplace and submit to employee drug testing

• Physically capable of handling job requirements and working long hours when needed

• Employment is contingent upon passing a pre-employment drug test and background check.
