POSITION TITLE: Executive Assistant to the President – Full-Time

DEPARTMENT: Administration

REPORTS TO: President

SALARY: Negotiable

START DATE: January 19, 2015

PRIMARY FUNCTIONS: Under the direction of the President, the Executive Assistant performs a variety of complex and responsible clerical and administrative duties for the President to increase the operational efficiency of the college.

ACCOUNTABILITY: The Executive Assistant reports directly to the President of the College.

ESSENTIAL RESPONSIBILITIES: Essential responsibilities and duties may include, but are not limited to the following:

1. Prepares a variety of correspondence, memos, reports and other documents.

2. Assist the President with all internal and external college communication. Assist with communication with Tribal officials and external colleges and organizations.

3. Organizes official files and records of the President. Maintains orderly files of all important institutional documents and correspondence and makes them readily accessible to the President as needed.

4. Assist the President with follow up of fundraising activities and assisting with contacts for future fundraising activities.

5. Prepares agendas and meeting materials. Helps communicate and prepare for President's meeting schedule. Distributes packets at meetings; attends meetings and takes minutes for the President at his meetings for proper follow up of action items.

6. Contacts members of the Board of Regents and informs them of the date/time/place of each of their meetings.

7. Serves as a liaison between the President and staff, faculty, and students, as well as representatives of various organizations and the general public, by relaying messages, answering questions, clarifying information, responding to requests, or referring callers to the President or other administrators.

8. Attend meetings for the President and represent the President as needed.

9. Maintains the President's calendar and arranges and schedules meetings, programs, telephone conferences, etc. as required.

10. Makes all travel arrangements and reports for the President; completes appropriate forms for conference registration.

11. Prepares requisitions and orders supplies and equipment for the President; assures proper functioning of Presidential office equipment and calls appropriate company or individual when repairs/maintenance is needed.

12. Other duties as assigned by the RLNC President.

EXPERIENCE/REQUIREMENTS:

1. Previous experience as an executive administrative assistant, preferably in higher education administration.

2. Experience managing administrative projects and events.

3. Knowledge of technological systems and software.

4. Knowledge and understanding of Anishinaabe culture and history.

5. Red Lake Tribal Member and Native Hiring Preference applies.

4. Ability to assume a leadership role and to multi-task.

7. Team player who can work with diverse populations and personalities.

8. Understanding of and commitment to the Red Lake Nation College Mission and Vision statements.

EDUCATION:

Minimum of A.A. degree required, Bachelor's degree preferred, plus experience as an executive administrative assistant.

LICENSES AND OTHER REQUIREMENTS:

Valid Minnesota driver's license within 30 days of hire, and current auto insurance.
